What protocols are LTEN adopting to make the live, in-person conference experience safe? (update 9/14/21)

LTEN has made the decision to require everyone who plans to join us at the LTEN Annual Conference 2021 to provide proof of full vaccination.

LTEN will work in accordance with guidelines of the Gaylord, the city of Aurora, the state of Colorado, and federal authorities to ensure the safety of all attendees, exhibitors, and staff. View our current safety and health protocols.

Are there exemptions for the COVID-19 vaccination? (update 9/14/21)

We also recognize some may not be vaccinated due to health issues or religious beliefs. Those that fall into these specific categories can request an exception to attend with an on-site COVID-19 test.

For exemptions we will accept a negative COVID test taken no longer than 72 hours prior.

What is acceptable proof of the COVID-19 vaccination? (update 9/14/21)

Valid proof would be the following:

  • A printed copy of your Vaccine Card, Vaccine Record.
  • A digital image of the card will be accepted as well via the multiple apps such as CLEAR’s Health Pass.

If they have lost their card most pharmacies will have it on file and can provide them with a record of inoculation.

I registered for the live 2020 conference which was cancelled. Can I apply that registration to this 2021 event?

Yes. Please contact Miki White, LTEN director of member services at mwhite@L-TEN.org to transfer your 2020 live conference to the 2021 virtual or in-person conference.

Miki is currently processing requests and following up with completed requests. If an LTEN staff member has reached out to you and you have not yet confirmed your request to attend the 2021 virtual or in-person conference, or the 2022 conference, please contact Miki directly with your decision.

If I register for the in-person event and I have to cancel because my company restricts travel, what are my options?

If your company approves travel to the in-person event but then has to cancel due to travel restrictions, we can hold your registration fee and apply it to the 2022 conference or another LTEN event within one year of the date of your cancellation.

All Life Sciences Trainers & Educators Network (LTEN) event registration cancellation, transfer, refund, and/or voucher requests must be received in writing by LTEN ten business days prior to the start of the event.

LTEN will issue a full refund for cancellations received in writing ten business days prior to the event less a $250 administrative fee. LTEN also offers the option to transfer the registration to a co‐worker at any time, or receive a voucher to attend another LTEN event. Vouchers will remain valid for one year from the issue date.

Nine business days or fewer prior to the event LTEN will issue a refund of $500 for cancellations requests not interested in obtaining a transfer or a voucher.

No refunds, credit vouchers, or transfers will be issued for no‐shows, or for those LTEN did not receive written requests to alter their registration prior to the day of the event. This includes cancellations due to weather, travel delays, or other causes. LTEN recommends that registrants allow for unexpected delays when making travel plans.

Can I transfer between the in-person and virtual conference?

If you register for the in-person conference and would like to move your registration to the virtual experience instead, you can submit that request by contacting us at info@L-TEN.org.

If you register for the virtual conference and would like to move your registration to the in-person event, you can transfer as long as there are passes available. Note that a limited number of in-person passes is available for the 2021 event.

I will be exhibiting or sponsoring. Will event passes be included with my booth and/or sponsorship package?

All booth packages include a specific number of passes. The terms of your packages including allotted passes will be listed in your contract but you can also speak with Gregg Haunroth, LTEN director of sales at ghaunroth@L-TEN.org.

When booking my hotel reservation what will be charged on my credit card and how long do I have to cancel without fees? (updated 9/14/21)

At time of booking typically within 24 hours of booking we charge a one night deposit on the guest reservation. The deposit is refundable up until 72 hours prior to arrival. Any reservations cancelled within 72 hours of arrival would be assessed a one night cancellation penalty and therefore would forfeit the deposit.

Why are there a limited number of in-person conference passes?

With current guidelines, we will limit attendance of the in-person, maintaining distancing and to adhere to Gaylord and state and federal guidelines on in-person gatherings. Registration for the event will be open to all on a first-come first-serve basis, after 2020 event transfers have concluded.  If capacity restrictions change during the registration period, we will adjust accordingly.  There are no limits on virtual attendance.

We are a 501(3)c non-profit association serving the life sciences training and education community. Our members are training professionals and leaders from all across the global healthcare industry at pharmaceutical, biotech, biopharma, medical device and diagnostics manufacturers.
